As an Office Administrator/Receptionist at REPAY, you’ll: 

  • Greeting visitors: This involves welcoming visitors, checking them in, and directing them to the appropriate staff members or departments.

  • Managing office operations: This involves overseeing day-to-day operations, such as managing office supplies, coordinating with vendors and service providers, and overseeing office maintenance.

  • Maintaining office supplies: This involves ordering and stocking office supplies, snacks, drinks, coffee, etc.

  • Managing schedules of conference rooms: This includes scheduling appointments, booking conference rooms, and coordinating meetings.

  • Managing correspondence: Handle all mail coordinating including sorting and distributing mail and incoming and outgoing courier packages and distribution of FedEx, and USPS packages

  • Managing office technology: This includes overseeing office technology, such as computers, printers, and phone systems, and ensuring that they are functioning properly.

  • Coordinating with other departments: This includes working closely with other departments, such as HR, finance, and IT, to ensure that office operations are aligned with organizational goals.

  • Data entry: This involves entering and managing data in various office software programs, such as Excel, Word, and PowerPoint.

  • Managing office equipment: This includes troubleshooting problems with office equipment, such as printers and copiers, and coordinating repairs.

  • Assisting with miscellaneous HR tasks: This includes tasks such as scheduling job interviews, preparing new hire welcome boxes,

  • Managing office access: This includes ensuring that visitors and staff follow security procedures, such as signing in and out and wearing identification badges. Activate new access badges when needed

  • Provide general office support and work with EVP of HR for specific office initatives

  • Schedule and coordinate travel via Concur for various employees in the company

  • Keep kitchen/breakroom stocked and organized

  • Coordinate and facilitate lunch ordering/set-up/clean-up and accommodate ad-hoc requests

  • Straighten up communal areas (conference room, supply room, kitchen, lobby, etc.), communicate with Janitorial staff to ensure proper maintenance of cleanliness

  • Coordinate with vendors for maintenance and ordering of supplies for the office

  • Coordinate and manage reoccurring company events and celebrations

  • Be the point of contact for all company travel.

  • Assist the sales team with scheduling and coordinating conferences and trade shows, shipping of trade show materials, and all travel.

Skills and experience you should possess:

  • Administrative support and coordination experience

  • A self-starter with the ability to work under minimal supervision and direction

  • Strong interpersonal and communication skills including ability to interact with all levels of management

  • Ability to prioritize and organize multiple tasks to meet deadlines in fast-paced environments

  • Strong attention to detail with high degree of accuracy on varied assignments

  • Demonstrated proficiency of MS Office, scanning, and electronic file management

  • Ability to research information, problem-solve, and prioritize multiple requests

  • Strong attention to detail

  • Preferred experience with travel and expense systems such as Concur

  • Ability to lift boxes up to 25 lbs.
