Job Summary
The Administrative Assistant will be the face of the company at the front desk, greeting customers and employees. This role will support the building departments by performing basic administrative duties. The Administrative Assistant will oversee giving clients directions to various parts of the building, contacting employees regarding visitors, answering phones and taking messages, and sorting and distributing mail.
As an Administrative Assistant, you will:
Greet guests and employees and provide assistance
Provide excellent customer service, sort, and distribute mail, answer multi-line phone and direct calls
Complete general administrative duties including making copies, filing, faxing, scanning, maintain visitor log, post and maintain conference room schedules
Utilize MS Office to prepare, maintain documents and ensure supplies are ordered and maintained
Activate customer badges, take badge photos, request badges from facilities, monitor badge expirations and control employee and visitor badges to ensure appropriate access
Perform other duties and responsibilities as assigned
Assist administrative team with work overflow and act as back-up for vacation and absence coverage
To be an Administrative Assistant, you will need:
High school diploma or equivalent
Minimum of 6 months of general office experience providing administrative support, including data entry in a professional environment
Ability to work independently and in team environment
To be very detail oriented, have effective written and verbal communication skills
Good customer skills, reliable attendance and ability to work overtime
Basic computer skills (MS Outlook, Word and Excel)
A successful candidate may also have:
Associate degree in Business or related
(1) year of administrative experience
