Virtual/Executive Assistant at Mom to Virtual Assistant

As a virtual Executive Assistant / Project Manager, you will play a crucial role in planning a large annual event, assisting with the podcast production, and managing multiple inboxes. You will also be responsible for ideating and brainstorming new initiatives, creating project plans based on our vision, and developing efficient processes. Additionally, you will have the opportunity to work on various projects as needed. The ideal candidate is tech-savvy, detail-oriented, and has experience in executive assistance and project management.

Key Responsibilities

  • Plan and coordinate the large annual event, ensuring a seamless and successful experience for all attendees.

  • Assist with the production of the podcast, including scheduling, recording, and editing.

  • Manage three inboxes, ensuring timely and professional responses to inquiries and correspondence.

  • Ideate and brainstorm new ideas and initiatives to support our business goals.

  • Create detailed project plans based on our vision, ensuring clear objectives, timelines, and deliverables.

  • Develop and implement efficient processes to streamline our operations and improve productivity.

  • Collaborate with the team on various projects as needed to support the marketing and business goals.

Requirements

  • Proven experience as an Executive Assistant and/or Project Manager (a must).

  • Tech-savvy with the ability to quickly adapt to new tools and platforms (a must).

  • Experience with ConvertKit, Canva, and video editing (a plus).

  • Proficiency in using platforms such as Asana, AirTable, Thrive, Poda, Champagne Room, Streamyard, and Google Office Suite.

  • Detail-oriented with a strong focus on accuracy and quality.

  • Strong organizational skills with a Type A personality and attention to detail.

  • Intuitively organized and able to manage multiple tasks and deadlines.

  • Excellent communication skills, both written and verbal.

  • Location: Remote (Eastern and Central Time Zones)

  • Hours: Part-time (15-20 hours per week, with availability to work in the morning)
