We are currently seeking an Administrative Assistant for a part-time, 16-hr per week position to support a team of approximately 25 people with organizational, administrative, office management, and project support tasks in our Portland, ME office.  The ideal schedule would include a physical presence in the office three to four days per week.

 

Responsibilities:

  • The Administrative Assistant will maintain office systems and supplies, and undertake other administrative and project tasks, as assigned.

  • Must be able to handle the fast-paced nature of consulting, as well someone who can adapt to evolving needs in the company.

  • A “no task is too small” attitude is a must.

  • This position requires excellent organizational and interpersonal skills, and an ability to work on multiple tasks and adjust to changing priorities.

  • This person must be organized and detail-oriented and must have the ability to work independently with minimal oversight needed.   

  • The person selected for this position will be responsible for maintaining overall office organization:

  • leading meeting and event scheduling and preparations.

  • conducting equipment ordering and tracking billing.

  • ordering supplies and restocking.

  • running small errands.

  • preparing shipments and mail processing.

  • ensuring vehicle registrations and maintenance are kept current.

  • directing annual health and safety checks.

  • assisting with mass mailings.

  • conducting digital file organization.

  • assisting in document assembly and production, as needed.

  • Word processing and technical editing skills are desired.

Requirements:

  • Associate degree or equivalent work experience.

  • Excellent computer skills and knowledge of Adobe/Nuance, Microsoft Office including Excel, Word, Outlook; ability to provide IT support and use new computer systems and iPads.

  • Excellent organizational, communication, and interpersonal skills and ability to take direction for often competing priorities.

  • Excellent interpersonal relationship skills and the ability to work with individuals of all skill levels.

  • Excellent written and verbal communication skills including phone and e-mail etiquette.

  • Ability to lift up to 25 lbs. on a frequent basis.

  • Ability to prioritize and follow up on pending items.

  • Strong follow-through skills, attention to detail and work quality

  • Must be client focused and have a strong sense of accountability.

  • Strong work ethic and commitment to safety

  • Creative problem solver who works in a professional and ethical manner

  • Ability to anticipate issues and problem solve in a fast-paced environment.

  • High degree of professionalism and discretion is required.

  • Self-motivation and willingness to get the job done.

  • Competence in office business machine operations and office management is desired.

  • Must pass a pre-employment drug screen in compliance with state law.

  • Must possess a valid driver’s license with a clean driving record without restrictions.
