Compensation

The base hourly rate for this position is $24.25.

The Administrative Support & Customer Service Specialist plays a key role in supporting daily operations by serving as the primary point of contact for customers, providing administrative support, coordinating order entry and shipping activities, and assisting with quality documentation and recordkeeping. This position requires strong organizational skills, attention to detail, and the ability to communicate effectively with customers, vendors, and internal departments.

Key Responsibilities

Customer Service

  • Answer incoming phone calls and direct inquiries appropriately.
  • Serve as a primary customer contact for order status, freight tracking, and general product inquiries.
  • Respond to customer requests professionally and in a timely manner.
  • Provide freight quotations and shipping estimates to customers.
  • Track shipments and communicate delivery updates as needed.

Order Management

  • Enter customer orders accurately into SAP.
  • Review orders for completeness and accuracy.
  • Coordinate with production, planning, and shipping teams to ensure customer requirements are met.
  • Maintain customer records and order documentation.

Shipping & Logistics Support

  • Communicate shipment information with customers and provide any needed documentation.
  • Track outgoing shipments and assist with resolving delivery issues.
  • Maintain shipping records and filing systems.

Administrative Support

  • Order and maintain office supplies and consumable inventory.
  • Maintain organized records and files, both electronic and physical.
  • Assist with data entry, reports, and other administrative functions.
  • Support departmental projects and plant operations as assigned.

Quality Support

  • Support customer quality inquiries by gathering and organizing information.
  • Promote adherence to company quality standards and continuous improvement initiatives.

Qualifications

Required

  • High school diploma or equivalent.
  • Minimum 2 years of customer service, administrative, or office support experience.
  • Strong computer skills, including Microsoft Office applications.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.

Preferred

  • Experience with SAP or other ERP systems.
  • Experience in manufacturing, logistics, shipping, or customer service environments.
  • Familiarity with quality systems, documentation control, or ISO-based processes.
