WHO YOU ARE

You are responsible for effectively providing the best possible administrative and technical assistance in support of the People Experience function in accordance with company policies and procedures. You are also responsible for assisting the People Experience Specialist and Manager in all aspects of talent management for a multi-entity structure.

WHAT YOU WILL DO

  • Assist in the day-to-day operations of the People Experience function and duties.

  • Maintain the integrity, accuracy, and confidentiality of all employee records and sensitive information by upholding a high level of professionalism and absolute confidentiality.

  • Process background checks and MVRs.

  • Monitor job openings for hospitality entities. Keeps abreast of job status and works with managers to close/refresh jobs as applicable.

  • Review applications and new hire paperwork for new hires and rehires.

  • Monitor I-9 process on new hires and rehires to ensure employment eligibility; track work authorization status and eligibility on an ongoing basis.

  • Generate and complete onboarding for new hires and rehires to activate their record in HRIS/payroll.

  • Maintain and update employee physical and electronic records, accurately and efficiently.

  • Responsible for high volume processing for all entities, including but not limited to changes related to pay, position and status, password resets, and approval of pending changes made by employees via their portal.

  • Regularly follows through with managers on onboarding discrepancies to ensure compliance with policies and procedures.

  • Track onboarding pending items such as direct deposit, signed job description, Work Opportunity Credit, and minor’s work permits accurately and efficiently.

  • Ensure current document resources are available for managers in their HRIS portal and assist in maintaining portal content, including phone and duties lists, org charts, HR forms and procedures, etc.

  • Assist with all routine People & Culture functions in areas including but not limited to employee changes, communication, compliance and training.

  • Establish, maintain and update filing system for the People & Culture department. Retrieves information from files when needed.

  • Provide clerical and administrative support to People Experience manager.

  • Organize and prioritize large volumes of information.

  • Work independently and within a team on special nonrecurring and ongoing projects.

  • Able to travel as needed (local and domestic).

  • Perform all other duties as assigned.

Requirements

WHAT WE NEED (MINIMUM QUALIFICATIONS)

Education High School Diploma or GED

Experience and/or Training

  • Minimum one to three years related Administrative Support or HR experience and/or training, or equivalent combination of education and experience.

  • Strong knowledge of Human Resources systems, policies, practices, processes, and support.

  • Must be organized and meticulous with details.

  • Must be able to adapt and work under pressure in fast-paced, demanding work environment through multi-tasking and prioritizing multiple tasks.

  • Demonstrated analytical skills.

  • Ability to read and interpret documents, prepare routine reports and correspondence, and communicate effectively with employees at all levels of the organization.

  • Ability to work independently and follow through on assignments with minimal direction.

  • Willingness to learn other areas of Human Resources to provide back-up and training as needed

  • Ability to maintain a high level of confidentiality; technical capacity

Technology/Equipment

  • Proficiency in Microsoft Office including Word, Excel, and Outlook.

WHAT WE PREFER

Experience and/or Training Bilingual in Spanish

PHYSICAL AND MENTAL REQUIREMENTS

You are occasionally required to stand, walk, sit, use hands to handle or feel objects, tools or controls; reach with hands and arms, and talk or hear.

WORK ENVIRONMENT

This position is in a professional office environment; the noise level in the work environment is usually moderate. This role routinely uses standard office equipment such as computers, phones, copiers, filing cabinets, and fax machines.
